The 8 Fleet Management KPIs That Actually Drive Operational Improvement

Not all fleet metrics are equal. Learn which KPIs mining, trucking, and logistics operations should track, and which vanity metrics to ignore.

The Metrics Problem

Modern fleet management platforms generate enormous amounts of data. The challenge is not collecting data but knowing which metrics actually matter for your operation. Here are the eight KPIs that consistently correlate with operational improvement.

1. Cost Per Ton Moved

The single most important metric for any fleet that moves materials. It combines fuel, labor, maintenance, and overhead into one number that directly reflects operational efficiency.

How to calculate: Total fleet operating costs / Total tons moved

2. Payload Utilization Rate

What percentage of maximum safe payload are your trucks actually carrying? A fleet averaging 85% utilization is leaving 15% of its capacity unused on every trip.

Target: 92-98% of rated payload

3. Cycle Time (and Its Components)

Total cycle time matters, but the breakdown matters more. A 45-minute cycle might include 10 minutes loading, 15 minutes hauling, 8 minutes queuing, 5 minutes dumping, and 7 minutes returning. If queuing is 18% of your cycle, that is your biggest opportunity.

4. Overload Incident Rate

How many times per shift do vehicles exceed their safe weight limit? Every overload is a cost: fines, tire damage, suspension wear, and safety risk.

Target: Zero overload departures.

5. Fleet Availability Rate

What percentage of your fleet is available for operations at any given time? Every point of availability improvement is equivalent to buying a fraction of a new truck.

Benchmark: Best-in-class operations maintain 90-95% availability.

6. Fuel Efficiency (Liters Per Ton-Kilometer)

Total fuel consumption is misleading because it correlates with production volume. Liters per ton-kilometer normalizes for volume and reveals true efficiency.

7. Tons Per Operating Hour (TPH)

Measures productive output relative to the time the fleet is operational. Unlike total tonnage, TPH accounts for shift length and downtime.

8. Queue Time as Percentage of Cycle

Queuing is pure waste. It burns fuel, wastes driver time, and reduces throughput.

Target: Less than 10% of total cycle time.

Metrics to Deprioritize

  • Total distance driven: does not account for payload
  • Number of trips: more trips is not better if loads are underweight
  • Average speed: faster is not always better on haul roads
  • Total fuel consumed: correlates with volume, not efficiency

Getting Started

Start with cost per ton and payload utilization: these two metrics alone will reveal the largest opportunities. Kimax Digital's platform calculates all eight KPIs automatically. Book a demo to see your operation's potential.
